Open enrollment is an important time for an employer.

  • Promote the value of the benefits you provide employees.

  • You distribute important information about rates and benefits.

We will work with your benefits staff to design enrollment forms, letters, notices and all other materials that will be distributed to your employees. We also have a graphic designer available, whose services will be billed separately. This enables you to capture and express in visual imagery your company’s specific benefit message.

Open enrollment services you will receive from your BeneSource® team:

  • Work with your benefits staff in developing an open enrollment time line.

  • Prepare necessary mailing list for distribution of open enrollment materials.

  • Coordinate distribution of open enrollment materials.

  • Process any open enrollment forms used. Entering relevant data into our BeneSource® database. (See Database Management)

  • Confirm eligibility of dependents by reviewing proper documentation, as follows:

    Addition of Spouse – Marriage Certificate

    Addition of Domestic Partner – Domestic Partner Certificate

    Addition of Children – Birth Certificate or Adoption Documentation

    Over-Aged Dependents – Full Time Student Verification or Disability Certification

  • As open enrollment progresses, we track all employees and prepare reports regarding who has and who has not completed their open enrollment.

  • Answer employees’ questions though the BeneSource® Hotline. (See BeneSource® Hotline)

  • Provide an electronic or paper copy of all Open Enrollment documentation requested.

  • Prepare a report regarding all changes that occurred during the open enrollment.
